By signing this form, the team contact, on behalf of the team, has agreed to abide by the rules, procedures, policies, and regulations of the SuperSeries AAA tournament and releases the team and the association, the sponsors of the 2024-2025 SuperSeries events, officials, arena management and all involved in the tournament from any liability for any injury, accident, theft or damage which may be incurred by and/or caused by any player, team official or spectator while participating in the tournament or while traveling to or from the tournament.

Please note SuperSeries AAA's withdrawal policy, which states that withdrawal less than 60 days before the tournament begins results in a forfeiture of the full cost of the tournament unless a replacement team is found. I understand that SuperSeries AAA events start at 8 am on the first day and finish by 4 pm on the last day.

I also understand and agree that a condition of being accepted into a SuperSeries Hockey event is that ALL teams outside of the 80-mile radius must book rooms through the designated event block. No other rates (including corporate/ AAA/government rates), discounts, or hotel reward points regardless of how acquired, will be allowed. No exceptions.

I understand that my team is required to have an approved certified roster submitted to SuperSeries AAA prior to the beginning of the event. Failure to submit the roster will result in the removal of the event and forfeiture of tournament fees. I understand that the schedule is subject to change and may need to be adjusted due to error or COVID-related issues and that I should not book any activities that are non-refundable during any scheduled event(s).

SuperSeries Hockey Hotel Policies:

1. A condition of being accepted into a SuperSeries Hockey event is that ALL teams outside of the 80-mile radius must book rooms through the designated event block. No other rates (including corporate/ AAA/government rates), discounts, or hotel reward points regardless of how acquired, will be allowed. No exceptions.
2. The team block must be reserved six (6) weeks prior to the start of the event. Individual player/family rooms must be booked by six (6) weeks before the event. Failure to follow proper procedure will result in removal from the event and forfeiture of event fees.SuperSeries Hockey reserves the right to charge $1500.00 to any team who have less than 80% of their registered team roster booked in a SuperSeries Hockey-designated hotel. 
3. Complimentary rooms are not guaranteed. Complimentary rooms are awarded based on actual nights paid for in the team block, not reservations booked. One (1) complimentary guest room will be provided per team per night for every 16 guest rooms booked through the team block. Complimentary rooms are awarded on a per-night pick-up basis over the tournament dates. The complimentary room is applied to the 16th room reserved by the team. Teams that appear to qualify for a complimentary room will receive an email with instructions the week of the event on how to designate the recipient of the complimentary room. Please make sure all rooms for coach(es) are booked prior to the cutoff date. Please note that the complimentary guest room will be required to check in with a credit card. The comp room night(s) will be awarded at checkout. NOTE: The hotel(s) credit(s) eligible stays back to the credit card in the days following the event.
4. Individual cancellations will be accepted by the hotels until 72 hours (3 days) prior to the arrival of the team. Individual cancellations AFTER 72 hours of arrival will be considered a “No Show” and will be charged for one room night plus tax. Early departures (parties checking out earlier than the departure date originally requested) are subject to fees determined by the hotel (typically one night’s room and tax).
5. If teams cancel more than 50% of their entire room block within one (1) week of the event start date, they will be subject to charges for one night per room plus tax, for their entire block of rooms originally listed on the rooming list. Any team will be at risk of removal from the event with no refund of fees.

Hotel Reservation Process:

Please read and follow the below reservation process for your team:

• The team contact is responsible for providing copies of, or discussing, SuperSeries AAA tournament hotel rules and procedures with all members of their group.
• It is the responsibility of the team to book a room for their coach or coaches prior to the cutoff date.
  Reserve your rooms using the link form sent to you following registration. If the team contact is not traveling with the team, please email info@superserieshockey.com with the name of the contact who will be available and with the team if the tournament director needs to get in touch with the team during the event.
• Please make your reservation from the online link provided for your entire team, at our tournament-approved hotels.

  Reservation Information: 

Please read and follow the below reservation process for your team:

• Complete all sections of the online reservation form. No alternate forms will be accepted. The hotel reservations are on a first come first served basis and the link is only given to teams once they have registered.
• All hotels work to keep your team as close together as possible. However, please understand that special requests and rooming list changes may cause your block to separate. Room additions, deletions and special requests or instructions regarding your team's room block should be made directly with your team's hotel contact at that time.
• Individual cancellations will be accepted by the hotels until 72 hours (3 days) prior to arrival for the team. Individual cancellations NOT MADE more than 72 hours in advance will be considered a “no show” and will be charged for one room night plus tax. Early departures (parties checking out earlier than the departure date originally requested) are subject to fees determined by the hotel (typically one night’s room and tax).
• If teams cancel more than 50% of their entire room block within one (1) week of the tournament start date, they will be subject to charges for one night per room plus tax, for their entire block of rooms originally listed on the rooming list.
• A credit card to cover incidental charges incurred throughout the weekend is required by a representative of each room at time of check-in (i.e. room service, movies, etc.).
• Listed check-in times are 3:00 pm unless otherwise noted.
• All rooms will have two (2) beds (doubles or queens) or a king bed with sofa sleeper. We cannot guarantee a specific room type.
• Rollaways/cots are available at most hotels. Extra charges may apply (typically between $10-$20 per cot per night).

SuperSeries Hockey Event Hotel Rules:

Please read and make sure your team is aware of the rules. Please remember you are representatives of your hometown and organization and your behavior is a direct reflection on the community you represent.

1. No reward points, discounts, coupons, or other hotel rates will pertain to tournament guests.
2. Children are not permitted in the hallways or common areas of the hotel after 10:00 pm. All children under the age of 15 must be in a guest room before 10:00 pm.
3. No hockey sticks of any kind (ice hockey, shinny hockey, etc.) are allowed in the hotels. “Shinny Stick Hockey” and “Hall Hockey” will not be allowed in the hotel. DO NOT bring shinny hockey sticks into the hotel.
4. Children must be accompanied everywhere in the hotel at all times, including common areas and swimming pools.
5. No running anywhere in the hotel, this includes hallways and common areas.
6. Parents and/or the team's representative will be held responsible for compensating the hotel for any loss, in the event of any damage to hotel property. In the event of physical damage, the individual will be billed for the actual cost of the repairs and/or replacement of the damaged items and the related costs.
7. The hotels reserve the right to deactivate hotel telephones if they are misused. Please use the hotel telephone system responsibly.
8. Only one warning will be given by the hotel to the violators of the rules, including misuse of elevators, excessive noise, or unruly behavior. Continued disruptive behavior will result in removal from the hotel property. In this case, NO refund of hotel or tournament registration fees will be made.
